Cancellation Policy for Tour Operators Cancellation by Client:

 

The Client may cancel their booking at any time by providing written notice via email or fax to Elop Safaris. The following cancellation fees will apply: 31+ Days Before Tour:

Full Non-refundable Deposit: The deposit paid at the time of booking is non refundable. 30 to 15 Days Before Tour:

50% of the Total Tour Cost: If cancellation is made between 30 to 15 days prior to the tour start date, 50% of the total tour cost will be charged as a cancellation fee. 14 to 7 Days Before Tour:

75% of the Total Tour Cost:

If cancellation occurs within 14 to 7 days before the tour begins, 75% of the total tour cost will be charged as a cancellation fee. 7 to 0 Days Before Tour:

100% of the Total Tour Cost: If cancellation is made within 7 days or less before the tour, 100% of the total tour cost is non-refundable.

No Refunds:
If the Client does not join the tour, joins after departure, or leaves before completion, no refunds will be provided for any unused portion of the tour. Cancellation due to Personal Reasons:
Cancellations due to personal reasons (e.g., illness, family emergencies, etc.) will follow the same cancellation fee structure. We recommend travel insurance for such situations to cover unexpected cancellations.
COVID-19 Related Cancellations: In the event that the Client is unable to travel due to COVID-19 restrictions or related reasons, Elop Safaris offers the following options:
Postponement Due to COVID-19 Restrictions: If the Client is unable to travel due to restrictions in their home country or destination country, the tour may be postponed for up to one year from the original tour start date without incurring additional fees. Valid reasons for postponement include:
Lockdown in the Client’s country of residence Airline cancellations or flight restrictions due to COVID-19 Diagnosis of COVID-19, requiring self-isolation or quarantine Alternative Tour Options: If the Client is unable to reschedule their tour within the one-year period, they may be offered
alternative travel dates or a similar tour. If the tour price changes due to inflation or other factors, the Client will be notified of the difference, and they can choose to accept or cancel.
Documentation Requirement: If the Client needs to postpone or cancel due to a COVID-19-related issue (e.g., lockdown, flight
cancellations, or personal health reasons), valid documentation may be requested (e.g., medical
certificate, airline cancellation notice, government-issued travel restrictions). Cancellation by Tour Operator: Elop Safaris reserves the right to cancel or modify the tour under the following conditions: Insufficient Participants: If the tour does not meet the minimum required number of participants (e.g., a group tour), Elop Safaris may cancel the tour up to 10 days before departure. In this case, the Client will be notified promptly and offered the option to:
Reschedule the tour for a later date. Receive a full refund of all payments made (except for the non-refundable deposit).
Force Majeure: Elop Safaris shall not be liable for cancellations or modifications due to unforeseeable events
outside its control, including but not limited to:
Natural disasters (earthquakes, floods, etc.) War, civil unrest, or terrorism Political instability Strikes or labor disputes
Acts of God In the event of force majeure, the Client will be notified, and options for rescheduling or refunds will be discussed. Weather-Related Cancellations:
While tours will proceed unless weather conditions make travel unsafe, Elop Safaris reserves the right to modify or cancel any portion of the itinerary if weather conditions (e.g., flooding, extreme heat, etc.) endanger the safety of participants. In this case, alternative arrangements or compensation will be discussed with the Client.
Modifications to the Itinerary: If the Client wishes to modify their itinerary (e.g., change the date or destination), the following will apply:
More than 30 Days Before Tour: No Charge for Modifications: Modifications made 30 days or more before departure will be
processed free of charge, subject to availability.
30 to 15 Days Before Tour:
A 15% modification fee will apply if changes are requested within this window. 14 to 7 Days Before Tour: A 25% modification fee will apply if changes are requested within this window.

7 Days or Less Before Tour:
No modifications will be allowed, and the Client will be subject to the cancellation policy. Travel Insurance: Travel insurance is highly recommended to cover the Client for unexpected cancellations, medical emergencies, lost baggage, or trip interruptions. Elop Safaris will not be responsible for any costs incurred by the Client for such situations if no insurance is in place. Refund Process:
Refunds will be processed within 30 business days after the cancellation or modification request
has been finalized.
Refunds will be issued to the original payment method unless otherwise specified. Any bank charges or transfer fees incurred during the refund process are the responsibility of the
Client.
